HubSpot CRM: best for an all in one platform

HubSpot's free plan includes up to 2 users, with limits of 1,000 contacts and 1,000 records across other standard object types. The Starter plan has a standard price of $20 per seat per month, and HubSpot was offering new customers a limited time promotional price of $7 per seat per month on annual upfront payment, or $10 per seat month to month, when we checked.

Choose it if you want email marketing, forms, sales and support in one system and expect to grow into more of the platform.

Watch for costs rising as you add hubs, seats and marketing contacts. Check the contact limits against the size of your list before you import it.

Zoho CRM: best for a free plan and low cost

Zoho CRM's free edition is permanent and supports up to 3 users, which is enough for many very small teams to run their pipeline without paying. Paid editions (Standard, Professional and Enterprise) are priced per user per month, with monthly and annual options; Zoho's pricing page provides an estimate calculator for current prices in your currency.

Choose it if you want to start free with a small team, keep costs low as you grow or need to customise fields, modules and workflows.

Watch for the learning curve that comes with deep customisation. Agree who will administer it before you start.

Pipedrive: best for a simple sales pipeline

Pipedrive is built around a visual pipeline of deals. It has four plans priced per seat per month, billed annually: Lite at $14, Growth at $39, Premium at $59 and Ultimate at $79. There is no free plan, but every plan can be tried free for 14 days without a credit card.

Choose it if your team sells actively and wants a pipeline that is quick to learn and hard to ignore.

Watch for the jump between plans. Check which plan includes the automations and features you need, because that, not the Lite price, is likely to be your real cost.

How to choose between them

  1. Count the users who need access in the next 12 months. If it is three or fewer, start with the free plans from Zoho CRM or HubSpot.
  2. Decide whether you need marketing tools in the same system. If yes, HubSpot is the natural shortlist leader.
  3. Price the plan you would actually need for 12 months, annual and monthly, for each tool.
  4. Trial your top two with a sample of your real contacts and deals. Our seven step buying guide walks through the process.

Prices and plans change often. Confirm on each vendor's page before you buy.

Frequently asked questions

What is the best free CRM for a small business?

HubSpot and Zoho CRM both offer permanent free plans. HubSpot's free plan includes up to 2 users with limits of 1,000 contacts, while Zoho CRM's free edition supports up to 3 users. Pipedrive has no free plan but offers a 14 day free trial.

How much does a CRM cost for a small business?

Entry paid plans from the vendors on this list start around $14 to $20 per user per month at list price. Pipedrive's Lite plan is $14 per seat per month billed annually, and HubSpot's Starter plan has a standard price of $20 per seat per month.

When should a small business move from a spreadsheet to a CRM?

When more than one person follows up with customers, when deals slip because nobody owns the next step, or when you cannot answer how many deals are open and what they are worth without rebuilding a spreadsheet.

Is Pipedrive better than HubSpot?

Neither is better for everyone. Pipedrive focuses on a simple, visual sales pipeline with per seat pricing. HubSpot offers a broader platform covering marketing, sales and service, which suits teams that want one system but can cost more as you add hubs and contacts.
